Terms of Service

1. Acceptance of terms

By creating an account or using Dental Copilot ("the Service"), you agree to these Terms of Service. If you do not agree, do not use the Service. We may update these terms from time to time — continued use after changes constitutes acceptance.

2. Description of service

Dental Copilot is an AI-powered clinical documentation tool that assists dental professionals with generating clinical notes, consent forms, referral letters, patient education materials, and other documentation. The Service is a professional aid — it does not replace clinical judgement, and all AI-generated content must be reviewed by a qualified dental professional before use.

3. Eligibility

The Service is intended for use by qualified dental professionals, dental students, and dental practice staff. By using the Service, you confirm that you are authorised to create and manage clinical documentation in your jurisdiction.

4. Account responsibilities

  • You are responsible for maintaining the security of your account credentials.
  • You must not share your account with others or allow unauthorised access.
  • You are responsible for all activity that occurs under your account.
  • You must notify us immediately if you suspect unauthorised use of your account.

5. Subscriptions and billing

  • Free tier: limited to 20 AI-generated notes per calendar month. No payment required.
  • Paid plans (Pro, Practice): billed monthly or annually via Stripe. Prices are displayed at the time of purchase and may be updated with notice.
  • Free trial: paid plans include a 7-day free trial. Your card will be charged at the end of the trial unless you cancel beforehand.
  • Cancellation: you may cancel at any time from the billing dashboard. Access continues until the end of your current billing period. No refunds are given for partial periods.
  • Failed payments: if a payment fails, we may restrict access to paid features until the payment is resolved.

6. Acceptable use

You agree not to:

  • Use the Service for any unlawful purpose.
  • Attempt to reverse-engineer, decompile, or extract source code from the Service.
  • Circumvent rate limits, access controls, or subscription restrictions.
  • Use the Service to generate deliberately misleading or fraudulent clinical documentation.
  • Share or resell access to the Service without authorisation.
  • Submit patient-identifiable information unnecessarily (the Service includes PII stripping as a safeguard, but this does not replace responsible data handling).

7. AI-generated content disclaimer

All content generated by Dental Copilot is produced by artificial intelligence and is provided "as is". While we strive for accuracy, AI-generated content may contain errors, omissions, or inaccuracies. You are solely responsible for reviewing, verifying, and approving all generated content before use in clinical practice.

Dental Copilot does not provide medical or dental advice. The Service is not a substitute for professional clinical judgement, and we accept no liability for clinical decisions made based on AI-generated content.

8. Intellectual property

  • The Service, its design, code, and branding are owned by Dental Copilot.
  • Clinical notes and content you generate using the Service belong to you.
  • Custom templates you create belong to you.
  • We do not claim ownership of your clinical data or generated content.

9. Limitation of liability

To the fullest extent permitted by law, Dental Copilot and its team shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or clinical outcomes, arising from your use of the Service.

Our total liability for any claim related to the Service shall not exceed the amount you paid to us in the 12 months preceding the claim.

10. Service availability

We aim to keep the Service available at all times but do not guarantee uninterrupted access. We may perform maintenance, updates, or experience downtime. We will make reasonable efforts to notify you of planned outages.

11. Termination

We reserve the right to suspend or terminate your account if you violate these terms. You may delete your account at any time by contacting us. Upon termination, your saved data will be deleted in accordance with our Privacy Policy.

12. Governing law

These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
